Departmental Intranet Site - 2014
Responsibilities:
What I Learned
- Planned, visualized, presented and negotiated logical and navigational structure of intranet site for marketing & communications department keeping in mind both internal capabilities, such as private libraries, and external presence throughout the UW Medicine community
- Balanced the needs of the department for (1) a cloud-based resource repository with (2) the development of department’s presence within the UW Medicine intranet system
- Coordinated site creation through IT support services as well as content creation within marketing, digital marketing and communications teams
What I Learned
- How to clearly and concisely describe needs and processes to a range of stakeholders, from the most technical IT support to administration
- How allocating resources within a repository is an exercise in balancing the information needs of external users with the functional needs of an internal team
- Serving the needs of a diverse group of users, both internally and externally is a challenging and rewarding task
Department Network Sharing Initiative - 2013
Responsibilities
- Negotiated with the three tiers of UW Medicine Strategic Marketing & Communications (Marketing, Digital Marketing, Media Relations) to reach a policy for workflow content organization, retention and sharing on a Document Management System
- Composed and maintained comprehensive standards for content naming, organizing and sharing
- Spearheaded the purging of redundant and outdated files by over 90%, from 61,000 GB to 3,300 GB; Files are now integrated across teams resulting in increased collaboration, decreased redundancy and overall departmental organization
Project Management System Audit and Administration - 2014

What I Learned
- Managed and audited departmental Project Management System
- Carried out interviews and surveys to gather user needs for PMS improvement
- Composed a requirements document for ideal PMS based on initial interviews and observations, taking into account project process, tracking and reporting needs
- Modeled project planning, creation, execution, closing and reporting processes
- Devised a semi-automatic reporting and tracking system in Excel to measure expenditures by project type, entity or line of care, as well as to track overdue and over-budget projects
- Composed policy and procedure documents surrounding use of PMS and reporting system
What I Learned
- Project management essentials, including: workflow creation, project-typing, tracking, scheduling and life-cycle considerations
- Sharepoint 2010 strengths and weaknesses
- The importance of extensibility in system creation and maintenance
- The varying workflows and processes of each group of users must be considered before crafting and initiating a new system; If a system does not support user needs and workflows, it will not be used to its full potential
